The CEHD Business/Systems Analyst 2 position reports to the CEHD Director of Communications and Marketing and is part of a 12-member Communications and Marketing team which provides the colleges seven departments, three centers, and 16 administrative and support units with strategic communications and marketing consulting and services. The teams charge is to increase the colleges visibility, enhance its reputation, and create even greater engagement with important CEHD stakeholders.


This position is a new position resulting from the colleges decision to move its various stand-alone websites on various platforms to the University-supported Drupal 8 CMS platform, incorporating the Universitys Folwell theme and CEHD brand standards. The result will be one integrated college website with consistent University branding and more consistent user experience. The position will utilize a project management system, recommended by the person hired for this position, to document project deliverables and manage timelines. To accomplish this, the position will work with various stakeholders, such as college leaders, communicators across the college, University Relations, the University Usability Lab, Office of Information Technology, University Libraries, and the colleges Academic Information Technology to define and manage roles, responsibilities, and timelines.

For the first two-to-three years, the position will focus primarily on managing the move to Drupal 8 for all college websites. After the website move is complete, the role will transition to other projects of similar scope and responsibility for CEHD Communications and Marketing.


Responsibilities:


Business Analysis/Project Management (80%)
  • Formulate a full-scale project plan, including scope, objectives, process, and timelines to migrate to Drupal 8
  • Consult ongoing with college communicators and project collaborators to map current and future web processes and needs, and align those with short-and long-term department and college objectives
  • Co-lead, with the CEHD Internal/External Communications Consultant, web content strategy consulting for all CEHD sites. Identify department/center/unit needs; recommend web content strategy best practices; and establish a process for review of content
  • Utilize a project management tool and provide training on the tool for communicators and collaborators so that tasks and project milestones are transparent and everyone involved knows their roles, deadlines, and how their work fits into the bigger project
  • Serve as the primary contact with college communicators the Universitys Usability Lab, University Relations, CEHD Academic Information Technology, University Libraries, and the Universitys Office of Information Technology
  • Hold regular meetings so all communicators and collaborators are informed, engaged, and can discuss and address any concerns as they arise
  • Hold communicators and collaborators accountable for project deadlines and quality deliverables, and make sure the project stays on budget
  • Troubleshoot project issues, providing an evaluation of the problem and the needed follow-through to see the problem resolved or escalated
  • Identify project staffing needs and lead the search for outside vendors, if needed. If vendors are hired, manage the vendor relationships and deliverables
  • Regularly brief the Director of Communications and Marketing on project status and any issues that arise
  • Partner with the Director of Communications and Marketing on change management strategy, including participating in in-person briefings for college stakeholder groups, such as the Senior Management Team, the College Administrative Directors, Academic Leaders, etc.
  • Oversee migration of websites to a new platform, including overseeing testing of the new CMS and documenting and communicating workflow and protocols with content owners and stakeholders
  • Manage Drupal projects ongoing after the initial migration


Web Governance (15%)
  • Develop, in collaboration with CEHD Communications and Marketing Department colleagues and other communicators college-wide, written Drupal governance standards and provide ongoing oversight.  The governance document will include establishing and documenting a workflow for ongoing maintenance and edits
  • Define and coordinate ongoing training requirements
  • Ensure all college sites are in aligned with the CEHD brand and meeting Universitys standards for compliance
  • Stay informed about current web research and work with college communicators to implement the most up-to-date user experience practices. Provide user experience consulting to communicators, as needed
  • Partner with the Universitys Usability Lab and other partners to conduct ongoing user experience research
  • Gather and analyze website analytics and make recommendations for strategic changes


Administrative (5%)
  • Undertake professional development activities to maintain a high level of expertise in business analysis, project management, and web governance
  • Represent the college by participating on the web and other committees and groups at the University
  • Keep current with University of Minnesota policies and guidelines

Required Qualifications:

  • BA/BS degree
  • Two years of work experience in the areas of IT business or systems process analysis or IT project management with a related degree; or four years of work experience in the areas of IT business or systems process analysis or project management with a non-related degree
  • Experience in website project management, preferably Drupal, or other website content management systems
  • Working knowledge of Web-related programming software, such as Dreamweaver, WordPress, GitHub, Active Server Pages, JavaScript, HTML, XSLT, and CSS
  • Working knowledge of web design and multimedia software (Photoshop, Illustrator)


Preferred Qualifications:

  • Experience in managing Drupal or IT-related projects at the University of Minnesota
  • Project management certification
